Collecting your personal information

We only collect personal information where it is necessary to deliver services to our clients, to maintain our business relationships, or to keep you updated on our latest news.

The kinds of personal information we, on occasion, will collect when needed for legitimate purposes:

  • your name,

  • your contact details at work (such as your phone number, email address, postal address),

  • your work details (such as your job title and the name of your organisation),

  • your email address if you subscribe to our newsletter, and

  • Information contained in your résumé if you apply for a job with us.

How we collect personal information

In most cases we collect personal information from you directly either via a phone call, in person or when you use you use our website. However, when needed for legitimate purposes, we do collect personal information from third parties. For example, your employer where they are our client, through a referral, or public sources such as LinkedIn. We do not buy email or marketing lists.

Using and sharing your personal information

We will only use and share your personal information or legitimate business purposes, in ways that you would expect us to, or where we are required to by law.

How we use personal information

We use your personal information to:

  • let you know about our products and services,

  • deliver our products and services,

  • stay in touch with you if you wish,

  • send you security or privacy surveys and our analysis of aggregated and anonymised survey results.

How we share personal information

We never sell information about specific individuals, organisation’s or households, but on occasion we will use aggregated and anonymised survey data for analysis purposes or to write articles/research papers.

We only share personal information with our sub-processors, where necessary, to help us provide our services and maintain our business relationships. We use products and services provided them help us manage and run our business (such as our email and file storage systems). When we do this, we take steps, including but not limited to:

  • Conducting vendor security risk analysis,

  • Encryption of data,

  • Contract restrictions, to ensure that our service providers are compliant with best practice security standards and local laws.

Most of our service providers use primary infrastructure instances, and store data, in Australia. Where this is not possible, some service providers store data overseas in countries including the United States and Canada. In such cases, these companies must abide by our data privacy and security requirements and are not allowed to use personal data they receive from us for any other purpose.

How we protect personal information

We take steps to keep your personal information safe.

Your personal information is stored securely and is only made available to staff on a “need to know” basis. Our staff do mandatory Security and Privacy training courses with testing and a pass mark of 80%+ to ensure everyone know their obligations

Information is only retained for as long as it is needed for legitimate purposes, after which, it is deleted/destroyed. This included any information held for us by our sub-processors.
